Job Responsibilities
Assist the Director General with daily administrative duties such as: managing an active calendar of appointments; drafting correspondence; conducting research; arranging detailed travel plans, scheduling meetings, preparing reports and documents for meetings etc.
Act as first point of contact to the Director General/CEO in dealing with correspondences and phone calls, i.e
. ensuring proper screening and appropriate handling of phone calls, inquiries and requests. Creates win-win situations for direct access to the DG/CEO’s time and office.
Plans, coordinates and ensures the DG/CEO’s schedule is followed and respected.
Ensures that the DG/CEO’s bio is kept up to date and responds to requests for information/materials regarding the DG/CEO.
Communicates directly, and on behalf of the DG/CEO, with Governing Council members, staff and others, on matters related to the DG/CEO’s initiatives.
Successfully completes critical deliverables with a hands-on approach, including editing and completing first drafts of written communications to internal/external stakeholders, drafting acknowledgement letters, personal correspondence and other tasks that facilitate the DG/CEO’s ability to effectively lead the Institute.
Regularly produce various content types, including email, social media posts, blogs and white papers.
Collaborate with other departments as necessary to create innovative content ideas for the DG/CEO’s office.
Job Requirements
Bachelor’s Degree in Law, Economics, Mass Communication, Business Management, Administration or any other Social Science discipline.
Minimum of eight (8) years of relevant experience.
Experience in a Business Membership Organisation will be an added advantage
Certification/Courses in Office management, Administration and Executive/ Personal assistant will be an added advantage.
Ability to multi-task, plan and prioritize tasks
